How to calculate average handle time

AHT = (total talk time + total hold time + total after-call work) ÷ calls handled

Take all four numbers from the same period and the same queue. Count only handled calls: an abandoned call has no handle time. Enter times in hours, such as 80.5, or as hh:mm:ss, such as 80:30:00. If your phone system reports averages per call instead of totals, AHT is the sum of the three averages, as long as each one is per handled call (some systems report average hold per held call).

Example: 1,200 calls with 80 hours of talk, 10 hours of hold and 20 hours of after-call work give 110 hours × 3,600 ÷ 1,200 calls = 330 seconds, or 5 minutes 30 seconds.

What a second of AHT is worth

Every second of handle time is paid agent time. Ten seconds less on 1,200 calls saves 3.3 agent hours, and the saving grows with volume. The Erlang C calculator shows what a shorter AHT does to the number of agents you need per interval.

How to lower AHT without hurting resolution

  • Cut hold time first: put the answers agents search for most within one click.
  • Automate after-call work: notes, dispositions and follow-up messages.
  • Send simple, repetitive calls to self-service or an AI voice agent, so agents keep the calls that need a person.
  • Track first call resolution next to AHT: a short call that brings a repeat call can cost more than one longer call.

Frequently asked questions

How do I calculate average handle time for a call center?

Add total talk time, total hold time and total after-call work for a period, then divide by the number of calls handled in that period. Use the same unit for all three times; this calculator takes hours or hh:mm:ss.

What does AHT stand for?

AHT stands for average handle time: the average time an agent spends on one call from answer to the end of after-call work, including hold.

Does AHT include hold time and after-call work?

Yes. AHT covers the whole time a call keeps an agent busy: talk, hold and the wrap-up after the caller hangs up. Average talk time alone is a different, shorter metric.

How is talk time calculated?

Talk time runs from the moment the agent answers to the moment the call ends, minus the time the caller spends on hold. Phone systems report it per call and as a total for a period.

Is a lower AHT always better?

No. A lower AHT saves agent time only if the issue is solved. If rushed calls lead to repeat calls, total workload grows, so watch AHT together with first call resolution and customer satisfaction.
